Now comes the not-so-fun part…the paperwork. Sorry, but it needs to be done before you leave. There are three types of forms you need to fill out which are reservation forms, application & liability release forms and medical statement. The good news is that once you are done, we will know all about you which will help maximize your liveaboard diving fun!

Please be advised that many countries are experiencing delays of weeks or months in processing passports. Note for US Passport holders: The US State Department has been taking significantly longer to process both new and renewal passport applications. Please take a moment to check the passport expiration dates for all travelers so there won’t be an unpleasant last-minute surprise.  For most destinations, passports must be valid for a minimum of 6 months beyond the date of arrival and have at least 2 blank pages.

Saba / St Kitts – North-Eastern Caribbean

Transfers to the boat – Although we do help arrange transfers to/from the boat, they are not included in the package price. Airport transfers currently run about $15-30 per person in St. Maarten and $10-15 per person in St. Kitts.

For trips starting in St. Maarten – please plan to be in St. Maarten by 4pm on the date of departure in order to facilitate the vessel’s clearance and timely departure for Saba.  If the flight arrival time is between 3PM and 4PM, please send us a copy of the passports for all travelers prior to departure.

We request that guests take a printed paper copy of return or onward flight itineraries and post-charter hotel confirmations with them to the vessel.

Galapagos

Arriving to Ecuador and the Galapagos – Guests will need to fly into Quito (UIO) or Guayaquil (GYE) in Ecuador at least one day before the trip.  You can fly American through Miami, United through Houston, Delta through Atlanta or LAN Ecuador or COPA out of Miami.  We can make hotel recommendations and reservations for you, plus organize any tours on mainland Ecuador or in the Galapagos Islands.  We recommend flying to Ecuador two days before the trip date, so guests can be sure to have all luggage for the flight to Galapagos.  Currently, the flights to Galapagos go early morning on the day of embarkation from both Quito and Guayaquil.  We can take care of the domestic flight booking to/from Galapagos.  They are not included in the package price and currently range from $530-620 per person, although prices may change.  Booking domestic flights may be slightly cheaper online, but if you encounter problems, we won’t be able to help you.  If the domestic flights are booked through us, we have direct contacts in Ecuador who are better able to assist you in the case of delays or other problems with the domestic flights. Please note all guests must arrive in Baltra no later than 11AM on embarkation day to meet the group transfer at the airport.

Departing the Galapagos – Flights depart from Baltra, Galapagos between 10am and 1pm on the day guests disembark the boat.  Guests must allow a minimum of three hours between arrival time in Quito or Guayaquil and an international flight.  For this reason, we recommend not booking a flight before 5pm out of Guayaquil or before 6pm out of Quito.

Current Onboard Charges – Onboard charges may be paid in cash or with Visa or MasterCard only.  US Dollars larger than $20 are not accepted onboard or at local banks.  Credit card payments aboard the vessel and elsewhere in Ecuador are subject to a 12% IVA and 5% service fee.

Indonesia

Cabin Assignments – Although an effort will be made to pair you with another traveler of the same gender, if possible, roommate gender is not guaranteed.  Final cabin assignment will be made at the time of travel.

Transfers – Airport and hotel transfers are included if arrival and departure is on the boat’s schedule, and if your local hotel is within the boat’s pickup area. Please check your specific trip itinerary for transfer times and hotels within the pickup area.

Current Onboard Charges – On board charges may be paid in cash in the following currencies: USD, Euro, Singapore Dollar and Indonesia Rupiah or with a MasterCard or Visa credit card (subject to a 4.5% fee).

Maldives

Airport Transfers – On all regular itineraries there are 2 transfers from the airport to the boat, on boat departure day, at 12:00pm and 4:00pm.

For those on the 12:00am transfer, the boat may not be completely ready, and they may not move into their cabins right away. Guests arriving on boat departure day will be met by a boat representative wearing an EMPEROR MALDIVES T-shirt and holding an EMPEROR MALDIVES sign. The meeting point is outside the airport, beside the information desk.

Guests arriving prior to boat departure day, with the trip starting in Male, should plan on meeting outside the airport, beside the information desk for the 4:00pm transfer.

When a domestic flight is required for your itinerary:

Domestic Flight at start of trip: Guests arriving prior to boat departure day, with a domestic flight at the beginning of the trip, should plan on arriving at the domestic airport two hours prior to departure time of the domestic flight. When possible, guests will be met by an Emperor Explorer representative and assisted with check-in.

Domestic Flight at end of trip: The group will be transferred to the airport for the flight back to Male.

If you do not want to use our Secured payment page, you can also fill out the Reservation Form (PDF) and send it back to us. We will charge the appropriate amount to the credit card specified, and if you specify we will charge your final payment 60/90 days before departure

If you would prefer to pay by check, please confirm your reservation with us via phone or email, and mail the reservation form with your trip payment (either a deposit of 30% if you are booking well in advance, or full payment if you are booking close to 60 days or less prior to departure).

NOTE: The Applications/Liability Release forms must be completed without modification and received in our office no later than 60 days prior to boarding. A copy of these forms MUST also be presented to the crew upon arrival.

Additional Terms & Conditions

Use of Discounts

Periodically we may offer special rates on our fares aboard our vessels. Please be aware that these discounts cannot be combined, and that any discounted fare which you receive will not apply to the number of trips which you have taken with us in anticipation of your 6th Trip Free credit. For example, if you have already taken advantage of one our special offers (such as the Crazy Insane Special) for one of your five previous trips, that trip would not apply to the total trips necessary. Thank you for your understanding!

Additional Information

Please note that discounts apply only to the trip cost itself; special rates do not apply to on-board charges and fees such as instruction costs, crew gratuities, retail sales, fuel surcharges, or government taxes or port fees in the jurisdictions which we visit. Discounts do not apply to single supplements.

Terms And Conditions: Free Trips

On occasion, we will award complementary trips aboard our vessels for various reasons, including but not limited to underwater photo prizes, silent auctions for charity events, and the like. All free trips are subject to the following terms and conditions:

  • Free trips do not include airfare, port fees, fuel surcharges, or on-board charges (crew gratuities, rentals, instruction, etc). In other words, they include only our standard package inclusions as listed on our price sheets.
  • Free trips are not transferable to anyone for any reason.
  • Free trips are generally only redeemable for the least-expensive cabin aboard the vessel, unless otherwise specified in writing. Upgrades in exchange for payment of the price difference are available, space permitting.
    With the exception of 6th Trip Free credits (see below), free trips may only be confirmed 60 days before departure, and will be subject to space availability. We reserve the right to shorten the confirmation period to a minimum of 14 days prior to departure, in the event of high demand for a particular trip. We understand that this may increase the uncertainty of scheduling your vacation, as well as result occasionally in increased airfare costs for you. Please understand that we make every effort to accommodate both paying passengers, and passengers who have been provided a free trip.
  • All free trips (with the exception of 6th Trip Free credits) have an expiration date; please contact us and make arrangements to complete your trip prior to that date. If, however, you have made a reservation which we are unable to accommodate due to cabin availability (see above), we’ll extend the deadline as long as you contact us within 30 days to reschedule at some point in future.
  • Free trips do not count towards free berth allocations given to reservations for groups of 6 or more

STEP 6: PURCHASE TRIP AND DIVE INSURANCE

You did it!  You are booked and ready to go on the dive adventure of your life!  But what happens if life has other plans?  Buying the appropriate travel and/or dive insurance before your holiday starts will make your vacation less stressful and more enjoyable.
